About The Role
We're looking for a highly organized, detail-driven Junior Project Coordinator to keep our creative and development teams moving. You'll own weekly sprint planning for our Design team, keep tickets moving by following up with stakeholders, and keep our project management workspace in Wrike accurate and up to date.
This is a great entry-level opportunity for someone looking to grow in project coordination. You'll work closely with designers, developers, and project managers, gaining hands-on experience with sprint planning and cross-functional collaboration. The ideal candidate is organized, dependable, and comfortable working independently in a remote environment.
This is a fully remote, part-time, standalone role at 20 hours per week, Monday to Friday, 9:00 AM to 1:00 PM Pacific. You'll report to Krystal Perez, Project Manager, and support our Design and Software Development teams as well as our Project Managers. Within your first 60 days, you'll run the weekly sprint review independently and manage stakeholder follow-ups with minimal oversight.
What You'll Do
Design Sprint Planning & Prioritization (Core Focus)
- Build and prioritize the Design team's weekly sprint using established guidelines.
- Check in with each designer at the end of every week to confirm what's complete, what's carrying over, and why.
- Lead a weekly call with brand project managers to review sprint priorities and discuss tickets planned for upcoming sprints.
Stakeholder Follow-Up & Blocker Management
- Follow up with ticket stakeholders when work is blocked by slow reviews, open questions, or missing information.
- Schedule touch-base calls at the start of a sprint for design tickets that need more detailed alignment beyond the brief.
- Escalate to your manager when a mission-critical item is still at risk, or when a ticket has had no movement for 3 to 4 days.
- Provide the same follow-up and escalation support for Software Development tickets.
Daily Ticket Assignment
- Assign daily quick-turn tickets to the two designated designers, following a documented SOP.
- Confirm each ticket has the details a designer needs before it's assigned.
Project Manager Support
- Help project managers build out new key projects in Wrike, including tasks, timelines, assignees, and fields.
Wrike Maintenance & Data Quality
- Keep Wrike accurate and organized by updating statuses, cleaning up stale or duplicate items, and filling in missing fields.
- Help build out the Wrike onboarding space currently in development, including organizing resources and how-to content.
- Review new requests for missing information and send them back to requesters before they reach the team.
Reporting & Data Cleanup
- Clean up monthly ticket data used for team productivity and workload reporting, and follow up with stakeholders on any missing information.
- Spot-check dashboards and automated status updates to confirm they're pulling correctly.
- Draft routine internal updates, reminders, and announcements for review.
Who You Are
- Follow-Through: Tracks open items to resolution and follows up independently.
- Proactive Communication: Seeks clarification at the start of a task and flags blockers or deadline risks as soon as they arise.
- Responsiveness: Replies promptly to Slack messages and Wrike comments during working hours.
- Accuracy: Keeps due dates, assignees, statuses, and ticket details correct and current.
- Professional Communication: Writes clear, polished, and concise messages to stakeholders at all levels.
What You'll Need
- A bachelor's degree with at least one administrative, coordination, or project support internship, or 1 to 2 years of administrative experience.
- Hands-on experience with a project management tool such as Wrike, Asana, Monday.com, Jira, ClickUp, or Trello.
- Polished, professional written communication, especially in Slack and project management tools.
- A proven habit of following up independently and meeting deadlines.
- Comfort asking questions and raising blockers early.
- Availability to work 9:00 AM to 1:00 PM Pacific, Monday to Friday.
Preferred
- Experience with Wrike specifically.
- Experience supporting creative, design, marketing, or software development teams.
- Familiarity with agile or sprint-based workflows.
- Comfort with Google Workspace, Slack, and basic spreadsheet work like sorting, filtering, and cleaning data.
