POSITION SUMMARY
The Project Coordinator supports project planning and implementation and coordinates day-to-day tasks and office administrative functions including administration, document control, and project support services for assigned construction projects and office operations. This position is responsible for maintaining project documentation, supporting reporting and compliance requirements, coordinating administrative activities, and assisting project teams with day-to-day operations.
ESSENTIAL JOB FUNCTIONS
Office Administration & Operational Support:
- Coordinate routine office administrative activities in support of project and business operations.
- Maintain office and project calendars, schedules, contact lists, records, and administrative tracking systems.
- Coordinate meetings, conference rooms, visitors, and preparation of meeting materials.
- Prepare correspondence, reports, forms, presentations, and other routine business documents.
- Maintain electronic and hard-copy filing systems for office and project records.
- Order, receive, and maintain office supplies and coordinate equipment maintenance and service requests.
- Coordinate mail, deliveries, shipping, travel arrangements, and expense documentation.
- Assist with onboarding paperwork and administrative personnel documentation.
- Serve as an administrative liaison between project personnel, corporate departments, vendors, subcontractors, clients, and other stakeholders.
- Assist management with maintaining office records, administrative logs, and operational tracking requirements.
Project Administration & Document Control
- Maintain project documentation, correspondence, RFIs, submittals, directives, contract documents, and project records.
- Process, distribute, track, and file incoming and outgoing project documentation.
- Maintain submittal registers, transmittal logs, document-control logs, action-item trackers, and other project tracking tools.
- Assemble and route submittal packages for review, approval, distribution, and filing.
- Maintain electronic and hard-copy project files and assist project personnel in locating project information.
- Compile information and prepare routine daily, weekly, and monthly project reports.
- Support maintenance of contract deliverables, change tracking logs, project compliance requirements, and closeout documentation.
- Maintain As-Built records, engineering submittal documentation, and project turnover files.
- Assist with Certified Payroll documentation, QA/QC records, and related compliance requirements.
- Assist with procurement activities, purchase requests, invoice processing, vendor coordination, and record maintenance.
- Support client invoicing and subcontractor payment documentation by compiling and maintaining required supporting information.
- Coordinate project meetings, document action items, and distribute meeting information.
- Assist with proposal support activities and compilation of project-related data.
- Maintain project information within Procore, RMS/QCS, or other project management platforms as required.
- Follow established company and project procedures and elevate issues requiring interpretation or management action.
- Perform other duties as assigned within the scope of the position.
EDUCATION/TRAINING
- High school diploma or equivalent required.
- Associate degree, technical training, or coursework in Business Administration, Construction Management, or a related field preferred.
EXPERIENCE
- Two (2) to three (3) years of administrative, project support, working with federal agencies
- Experience maintaining project documentation, spreadsheets, databases, or electronic records.
- Construction-industry administrative experience preferred.
- Experience with construction submittals, Certified Payroll, QA/QC documentation, or project management systems preferred.
SKILLS/ABILITIES
- Strong organizational skills and attention to detail.
- Strong computer skills, including Microsoft Word, Excel, Outlook, and other standard office applications.
- Ability to communicate professionally and effectively with project personnel, subcontractors, vendors, clients, and other stakeholders.
- Ability to work independently on assigned tasks and collaboratively as a member of a project team.
- Ability to accurately enter, maintain, and retrieve information from spreadsheets, databases, and project management systems.
- Ability to follow established procedures and accurately complete routine administrative and project-support processes.
- Ability to prioritize assigned tasks, meet established deadlines, and maintain organized project records.
- Ability to balance office administrative responsibilities with project support priorities in a deadline-driven environment.
- Ability to perform multiple tasks simultaneously while maintaining accuracy and attention to detail.
- Ability to read and understand basic construction and project documentation.
- Ability to assemble submittal packages, maintain registers and logs, process transmittals, and maintain As-Built and engineering submittal documentation.
- Ability to identify missing or inconsistent information and refer issues to appropriate project personnel.
- Ability to maintain confidentiality and appropriately handle sensitive business information.
- Ability to learn new procedures, technologies, and software systems.
PHYSICAL DEMANDS
- Must be able to sit for prolonged periods.
- Must be able to perform repetitive movements of the fingers, hands, wrists, and arms while operating computers and other office equipment.
- Must be able to communicate verbally and effectively hear and understand others.
- Must be able to read printed materials and computer screens for extended periods.
- Ability to occasionally lift and carry documents, supplies, equipment, or materials weighing up to 30 pounds.
- Ability to occasionally access active construction areas, including walking over uneven or rough terrain.
WORK ENVIRONMENT
The working conditions for this position may include the following:
- This is a hybrid position that requires work to be performed onsite at an Aleut Federal location with occasional remote work.
- Office work generally involves normal office conditions and prolonged computer use.
- This position may require occasional work at project sites, client locations, or other company facilities.
- When accessing construction areas, the employee may be exposed to varying weather conditions, dust, noise, heavy equipment, uneven terrain, and other conditions associated with active construction operations.
- Appropriate personal protective equipment (PPE) must be worn when required.
- This position may require occasional work at project sites, client locations, or other company facilities.
SPECIAL REQUIREMENTS
- Must be able to pass pre-employment background screening.
- Must be able to be cleared for base or site access, including a Local Background Check (LBC) and/or National Agency Check (NAC).
- Must occasionally be available for additional work hours outside the regular work schedule
- Must complete all mandated training requirements per government and management directives.
Salary Range:
- $30/hr-$36/hr.
