Project Coordinator I - IV - Service Retrofit
Position Overview
As a Project Coordinator (Levels I–IV) - Servic Retrofit, you'll support the successful planning and execution of commercial HVAC, plumbing, and mechanical projects by assisting Project Managers with coordination, documentation, submittals, scheduling, and administrative tasks. You will serve as a key liaison between the office and field teams, ensuring smooth communication, compliance, and project organization. This career ladder role progresses from entry-level support to advanced coordination and leadership responsibilities, empowering you to grow your skills in a collaborative, people-first environment while contributing to high-quality, on-time project delivery nationwide at any of our operating companies.
Duties and Responsibilities Duties increase with level, with greater independence, complexity, and leadership responsibility:
- Level I: Support basic project coordination tasks including document management, submittal tracking, equipment logging, and administrative support under close supervision.
- Level II: Independently manage submittal registers, coordinate submittals/resubmittals, maintain project documentation, and assist with monthly forecasts and manpower tracking.
- Level III: Lead coordination of Davis-Bacon requirements, job site badging/access, as-builts, O&M manuals, warranties, and owner training; ensure billing accuracy and budget entry.
- Level IV: Oversee advanced project coordination, proactively manage documentation and compliance across multiple projects, mentor junior coordinators, and serve as a primary point of contact for internal and external stakeholders.
All Levels:
- Maintain accurate project documentation, plans, specifications, and communication between office and field teams.
- Ensure compliance with company policies, contractual standards, and project requirements.
- Provide excellent customer service and professional communication with internal teams, subcontractors, general contractors, and clients.
- Perform other duties as assigned to support successful project completion.
Supervisory Responsibilities Varies by level:
- Levels I & II: None
- Level III: Provides guidance to junior coordinators
- Level IV: May mentor and provide functional leadership to Project Coordinators I–III
Requirements/Qualifications
- Experience (progressive by level):
- Level I: 0–2 years in construction, project coordination, or administrative support.
- Level II: 2–4 years of relevant experience.
- Level III: 4–6 years with increasing responsibility.
- Level IV: 6+ years with demonstrated ability to manage coordination across multiple projects.
- Education: High school diploma or GED required; Associate or Bachelor’s degree in Construction Management, Business, or related field preferred.
- Physical Demands: Primarily office-based with occasional job-site visits; ability to walk active construction sites and lift light materials as needed.
- Work Environment/Safety: Professional office with hybrid options and occasional active construction sites; must adhere to OSHA regulations and wear required PPE when on-site—safety is our top priority and non-negotiable. This is a safety-sensitive position.
Required Skills (progressive by level)
- Strong organizational, multitasking, and follow-up skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and project management software (Procore preferred).
- Ability to read and understand construction documents, plans, and specifications.
- Attention to detail, self-motivation, punctuality, and professional demeanor.
- Understanding of construction processes, submittals, as-builts, and project documentation.
